Dear Human Resources Director:

My name is Becky Barton and I just graduated from XYZ Community College last week. I earned an Associate’s Degree in Business and graduated with honors. It is my desire to work as a receptionist at ABC Accounting Firm while I continue my education in the evenings at State University. I plan to work toward a Bachelor’s Degree in Accounting and eventually sit for the Certified Public Accountant exam. I would love to start a career at ABC as it has been a goal of mine for some time now to become an accountant and work at a top firm such as ABC. My resume is attached and I would appreciate being considered for a position at your firm.

I have taken some basic accounting courses in my first two years of college and believe I would be able to speak intelligently to clients on the phone and direct them to the right department or individual who can assist them. I have worked part-time as a receptionist in the School of Business at XYZ Community College where I received training and experience in telephone etiquette and the operation of a computerized switchboard. I was also responsible for sorting mail and distributing to individual boxes in the reception area as well as answering basic questions from visitors. I enjoy helping people and providing superior customer service.

I would greatly appreciate an opportunity to interview with you for a receptionist position in any department at ABC Accounting Firm. In addition, my supervisor at XYZ, Dr. Victor C. Van, is listed as a reference on my resume and is willing to speak with you about my job performance in his department. Please contact me at (555)-555-5555 or [email] if you have questions or require further information.

Respectfully,

Becky Barton

Example 2 -Unadvertised Opening

This receptionist cover letter example is from a recent high school graduate seeking a receptionist job in a medical office. She plans to attend technical school at night to study for a degree in medical assisting. She wishes to gain experience working in a medical office while earning her degree.

Dear Practice Administrator:

My name is Kim Clark and I just graduated from XYZ High School where I was on the health occupations track the entire 4 years. I have always wanted to work in a medical office and I have been accepted to XYZ Technical and Vocational School where I will attend evening classes beginning in the fall. I plan to work toward earning my Medical Assistant Degree over the next 2 to 3 years and would greatly appreciate the opportunity to work as a receptionist at ABC Pediatric Associates.

While in high school I served as an officer in the Health Occupations Students of America (HOSA) Club for the entire 4 years. HOSA is a club designed to teach future health professionals about a career in healthcare and give them opportunities for hands on experience through volunteer work and community service. I served as treasurer my freshman year, secretary my sophomore year, vice president my junior year and president my senior year. Through my association with HOSA I was able to work as a volunteer at XYZ Medical Center for the last 3 years. I began by delivering flowers to patient rooms and last year transported patients to the lab, x-ray and other departments.

I have experience working as a receptionist at my uncle’s law firm. I worked as a fill-in receptionist in various departments for the past 2 summers. I have experience operating a digital switchboard, answering phones, transferring calls, taking messages and signing in visitors daily. My detailed resume is attached and I would appreciate being considered for a receptionist position in your practice. I am available to come in for an interview at your convenience and am able to start work immediately. Please feel free to contact me at (555)-555-5555 or [email]

Example 3 – Response to Job Postings and Classifieds Ads

This receptionist cover letter example is from a person who has been a stay-at-home mom for a number of years and would like to get back into the workforce now that her children are older. She is responding to a newspaper ad for a receptionist position at a local business.

Dear Ms. Taylor:

My name is Sarah Parker and I am applying for the available receptionist position at ABC Catering Company that is advertised in the Arizona Republic online newspaper. Prior to the birth of my twin sons I was a receptionist at XYZ Caterers, Inc. in Santa Fe, New Mexico. I have been a stay-at-home mom and school and church volunteer for the past 16 years, but would like to return to work now that my boys are juniors in high school and able to drive themselves to their various activities.

Although I have not held a paying job for a number of years I am confident that I can train quickly to fill your position. I do have experience operating a call bank. Each year for the past 10 years I have volunteered for the phone campaign for the national Muscular Dystrophy Telethon. I have also worked phone campaigns for our local chapter of the March of Dimes. I do have experience with a switchboard and I know proper telephone etiquette.

Your ad also calls for someone with experience with the Microsoft Suite including Word, Access, Excel and PowerPoint. I am proficient with all of these programs. I have used Word to design event programs for my son’s school, Access to maintain the Parent Teacher Association (PTA) database at the school and Excel for PTA treasury reports. I have experience with PowerPoint as I volunteer to design the PowerPoint presentation that accompanies my pastor’s sermon each week at church.

I believe I am qualified to fill your position based on my past experience working for a caterer and my recent experience with phone and computer work. Please review my attached resume. I am available for an interview at your convenience and can be reached at (555)-555-5555 or [email]
