Volunteer Resignation Letter

If you have new commitments in your life that would require you to cut back on volunteering or stop entirely, the most polite and professional thing for you to do would be to write a volunteer resignation letter stating your intentions. This will show your goodwill toward the organization and provide advance notice to the management. They will be appreciative that you have not blindsided them and left them to try to fill your position in a hurry.

Format and Content

Begin with a formal greeting and statement of your plans to resign for the makings of a professional volunteer resignation letter format. Make sure the exact date of your resignation is clearly noted in order to avoid any mixups, and leave your number and email in case further clarification is required. You probably earned a lot of interesting skills and valuable experience as a volunteer, so be sure to say thanks for that. You should send a copy of the letter to the director of the organization and whoever was responsible for your area of volunteering.

This volunteer resignation letter sample is written to a community charitable organization from one of its volunteers who is no longer going to be able to keep the position. She explains that her new job schedule does not allow for volunteering, but lets the director know how much she appreciated the volunteering experience.

Dear Ms. Olson,

I wanted to personally inform you that I will be resigning from my volunteer position at ABC Community Services. I have recently been presented with a job offer that will help me reach my career goals and I have decided to accept it. The hours of the job would conflict with my volunteering at ABC Community Services, necessitating my resignation. My last day at ABC Community Services will be July 15, 2014, so this letter must serve as my two weeks’ notice.

I may be available on some evenings and weekends throughout the rest of the year and would be delighted to continue volunteering occasionally if I can be notified a few days in advance. My telephone number is (555)-555-5555 and my email address is [email] I hope I can look forward to hearing from you and getting a few hours in occasionally.

I apologize for any inconvenience my resignation may cause to you or ABC Community Services and hope that in my last two weeks I can do whatever is needed to make the transition a smooth one.
